POSITION OVERVIEW/

As a key member of the Finance team reporting to the VP of Finance, the Accounts Payable Accountant will manage the full scope of the accounts payable (AP) function. You will be responsible for processing all AP transactions for 1VALET while working closely with our third-party finance provider. Acting as a key liaison between 1VALET, vendors, and finance, you will ensure the accuracy and timeliness of all payments while identifying process improvements and supporting informed financial decision-making.

RESPONSIBILITIES/

  • Manage the end-to-end Accounts Payable process, including invoice entry, payment processing, accruals, and reconciliations.
  • Document and maintain AP processes and procedures.
  • Review and verify invoices and purchase orders to ensure accuracy and compliance with company policies.
  • Match invoices with purchase orders and receipts, ensuring correct amounts and vendor information are entered into the accounting system.
  • Resolve discrepancies between purchase orders, invoices, and receipts.
  • Prepare and process payment runs, including checks, ACH, wire transfers, and credit card payments.
  • Monitor and manage AP aging reports to ensure timely vendor payments.
  • Ensure that payments are made in accordance with vendor terms and internal guidelines.
  • Maintain and update vendor records, including contact details, payment terms, and tax identification numbers.
  • Communicate with vendors regarding payment status, disputes, and discrepancies.
  • Resolve payment and outstanding invoice issues in a timely, professional manner.
  • Reconcile the accounts payable subledger with the general ledger (GL) to maintain accurate financial records.
  • Support the preparation of monthly, quarterly, and year-end financial reports.
  • Ensure AP processes are compliant with internal policies and accounting standards.
  • Monitor and track employee expense reports, verifying receipts and compliance with company policy.
  • Reconcile processed transactions by verifying entries and comparing system reports to account balances.
  • Update outstanding balances by applying credit memos when applicable.
  • Pay employees by receiving and verifying expense reports through the company’s accounting system.
  • Verify vendor accounts by reconciling monthly statements and related transactions.
  • Maintain historical records of invoices, reports, receipts, and payments in an organized manner.
  • Assist other departments with equipment or product purchases, asset tracking, and acquisition accounting.
  • Confirm subcontractor hours, bonuses, and project billing details.
  • Assist with internal and external audits by providing requested documentation and reconciliations.
  • Must be comfortable working 100% in-office.

QUALIFICATION/

  • Degree or diploma in Accounting, Finance, or Business Administration.
  • 3+ years of experience in Accounts Payable or general accounting roles.
  • Experience in a SaaS or subscription-based environment is a strong asset.
  • Strong understanding of accounting principles and best practices (GAAP required; IFRS familiarity is an asset).
  • Proficiency with NetSuite is required.
  • Proficiency with Google Workspace, Google Sheets, and/or Microsoft Excel.
  • Excellent organizational skills, attention to detail, and ability to manage multiple priorities.
  • Strong communication and interpersonal skills, with a proactive and professional approach to vendor and team interactions.
  • Analytical mindset with the ability to interpret financial data and provide actionable insights.
  • Experience supporting audits and month-end closing processes is preferred.
