Hybrid Work Model

At Assent, we proudly embrace a remote-first work model, valuing the flexibility and autonomy it provides our team. We also acknowledge the intangible benefits of occasional in-person workdays. For team members situated within 50 kms/31 miles of our five global offices in Ottawa, Eldoret, Penang, Columbus, Pune and Amsterdam, you can expect to come into the office at least one day a week. Similarly, those near our co-working spaces in Nairobi and Toronto are encouraged to work onsite once a month.

Job Description

As a Talent Coordinator, you will play a key role in supporting the Talent Acquisition and Talent Acceleration (Learning & Development) teams by managing systems, processes, and administrative tasks across the entire employee journey—from attraction and recruitment through to onboarding and ongoing development.

This role is critical in driving operational excellence and creating efficiencies across both functions. You will work closely with the Talent Acquisition team, Employee Experience Business Partners, and Learning & Development stakeholders to ensure a seamless and positive experience for candidates and employees alike. Your role also includes relationship-building within the external talent community, as well as internally supporting the implementation of development programs and systems.

Talent Acquisition Support

  • Support recruitment for co-op and entry-level roles, including job postings, coordinating interviews, candidate follow-up, and extending offers.
  • Conduct background and reference checks, generate offers, and support pre-boarding activities.
  • Partner with external organizations, universities, and colleges to build talent pipelines and create more diverse candidate pools.
  • Coordinate with recruitment partners and internal hiring managers to ensure a smooth hiring experience.
  • Post jobs on external sites and internal platforms; manage candidate tracking through our ATS.
  • Support phone screens and application reviews to assist TA Specialists.
  • Participate in career fairs, meetups, and other talent events.
  • Drive process improvements and operational efficiency in TA systems (e.g., reporting, data accuracy, workflows).
  • Serve as a systems SME for our ATS—test features, resolve challenges, liaise with vendors, and run training sessions.

Talent Acceleration (Learning & Development) Support

  • Provide administrative and coordination support for employee learning initiatives and development programs.
  • Assist with the scheduling and logistics of training sessions (virtual or in-person), onboarding programs, and internal workshops.
  • Maintain accurate learning records and ensure updates are reflected in learning management systems (LMS) and related tools.
  • Support content uploads and communications for learning platforms.
  • Assist in survey creation, report generation, and participant follow-ups for learning experiences.
  • Contribute to the continuous improvement of development programs by collecting feedback and helping refine workflows.
  • Collaborate with the Talent Acceleration team to track engagement metrics, support internal learning campaigns, and champion a culture of growth.

Systems & Process Support

  • Serve as a systems coordinator across both Talent Acquisition and Learning & Development platforms, ensuring data accuracy, process consistency, and optimization.
  • Act as the liaison with system vendors and internal teams to stay up to date on feature updates and explore new capabilities.
  • Present findings and recommendations on process improvements across TA and L&D systems.
  • Test and help implement new tools or features and deliver related training to internal stakeholders.

Qualifications

  • Post-secondary education and a genuine interest in HR, software/SaaS, or operations-focused roles.
  • 1-2 years experience in a similar role within a busy, growing organization.
  • A creative and proactive mindset—you love problem-solving, brainstorming, and experimenting with new ideas and tools including AI.
  • Strong organizational and time management skills—your colleagues describe you as someone who always gets things done.
  • Excellent communication skills in English—verbal, written, and interpersonal. Other languages considered an asset.
  • Passion for both recruitment and employee development—and how both connect to the broader employee journey.
  • Comfort working with tools such as LinkedIn Recruiter, Boolean search strategies, and various recruitment and learning platforms.
  • Experience with an ATS and/or LMS is an asset.
  • A collaborative, flexible approach—you’re energized by variety and can adapt quickly to shifting needs.
