About the Role

Your primary responsibility will be to support day-to-day finance operations for the company and its subsidiaries - owning accounts payable/receivable, bank and credit card reconciliations and employee expense processing. Reporting directly to the Finance Manager and working closely with the Intermediate Company Accountant, this role will play a vital role within the organization and advance Growcer’s financial efficiency.

As the finance team is small, the expectation of this role will be to support the Growcer team in a variety of tasks relating to finance, responding to financial requests from across the organization and general administration. This individual must be meticulous with a strong attention to detail to underpin the finance function during a phase of accelerated growth for the organization. You will thrive in this role if you enjoy performing a wide range of duties, are willing to learn and grow within this role and are comfortable being a team member who will be relied upon to manage and process information and transactions efficiently and accurately.

Internship Funding:

The Growcer recently received funding to support a nine-month contract through the Science Horizons program. The Science Horizons program creates opportunities for interns to work with employers in the environmental science, technology, engineering and mathematics sectors.

Science Horizons Internship Funding Requirements:

The Growcer administers this internship funding in accordance with the Science Horizons Internship program requirements. Funding terms, require all applicants to be:

  • new (not yet employed) to the organization applying for funding;
  • aged 30 or under at the beginning of the internship;
  • a graduate from a post-secondary institution (does not have to be a STEM grad) – Canadian or International
  • Canadian citizens, permanent residents, or persons who have been granted refugee status in Canada;
  • legally entitled to work in Canada according to the relevant provincial and Canadian legislation and regulations; and
  • not be in receipt of Employment Insurance (EI) benefits.
  • have not participated in any of The Youth Employment and Skills Strategy Programs targeted at post-secondary graduates.

Responsibilities

Accounts Payable

  • Maintain supplier records and expenses across multiple entities in Canada and the US
  • Process supplier invoices and code credit card expenses in accordance with cost accounting SOP, including the collation and storage of receipts
  • Match inventory purchases to purchase orders from Fishbowl
  • Process employee expense reports
  • Reconcile supplier accounts and resolve discrepancies
  • Support the Intermediate Company Accountant with supplier payments

Accounts Receivable

  • Maintain customer records and billing across multiple entities in Canada and the US
  • Prepare customer invoices, receipts, and payment documentation
  • Prepare and distribute customer statements
  • Reconcile customer accounts and resolve discrepancies
  • Support transaction process from e-commerce platforms – Chargebee and Shopify
  • Support the Intermediate Company Accountant with customer collections

Bank and General Ledger

  • Ensure all financial data is accurately entered and organized in the accounting system (Quickbooks Online)
  • Accurately record HST and sales taxes
  • Reconcile bank accounts and credit cards
  • Communicate with suppliers and customers; engage constructively with internal teams
  • Identify and suggest process improvements to enhance efficiency within the finance function

Administration

  • Support office and administrative function, including purchasing and re-stocking
  • Assist with general finance, operations and corporate requests, as required

Required Skills & Competencies

  • Strong organizational and time management skills. Proven ability to manage several tasks and projects at once in a fast-pace, deadline-driven environment
  • Strong analytical skills and problem-solving attitude
  • Excellent written and interpersonal communication skills
  • Exceptional attention to detail with a strong focus on quality control
  • Ability to work independently and manage own priorities; self-starter attitude
  • Strong proficiency with accounting software (QuickBooks Online preferred; )
  • Proficient in Excel or Google Sheets
  • Must be able to legally work in Canada
  • Experience in multi-entity and/or project-based environments is an asset
  • Familiarity or experience with expense and AP Automation would be looked upon favourably

Education Requirements: Diploma or Bachelor’s Degree in Accounting, Finance or Business Administration

Experience Requirements: 1-2 years experience

Travel Requirements: Minimal

Physical Requirements: N/A

English/French Bilingual: Fluency in English required, bilingual an asset

Driver’s License Required: No

This role is a hybrid role, requiring a minimum of 1-2 days in the Ottawa office per week.

The compensation range for this role is $48,000-$53,000 per annum.
