VENTURE PROGRAMS COORDINATOR
INVEST OTTAWA – VENTURE DEVELOPMENT
We are seeking a dedicated Venture Programs Coordinator to join our dynamic team at Invest Ottawa. Reporting to the Manager, Venture Programs Initiatives, this role is crucial for ensuring the smooth operations of our Venture Programs team, including the IO Venture Path suite of programs and the tech companies that they serve. The ideal candidate will be a highly organized, detail-oriented individual who excels in administration, logistics, and data analysis.
Work Model: 10 days per month required in-office at Bayview Yards
Corporate Pay Band B: $54,400 - $81,600
Hiring Salary Range: $54,400 - $61,200
Reason for Opening: Backfilling a position.
WHAT YOU WILL BE DOING:
- Organize and coordinate logistics for peer groups, workshops, and other program-specific events and initiatives.
- Manage participant registrations, venue bookings, and catering arrangements.
- Support the execution and facilitation of program initiatives and activities, working closely with stakeholders to ensure effective delivery.
- Prepare correspondence, reports, and presentations for various stakeholders.
- Gather feedback from program managers regarding internal inefficiencies and collaborate with various departments to implement enhancements that streamline operations and increase team effectiveness.
- Prepare, manage, and reconcile invoices and expense reports.
- Coordinate with the Finance team to ensure invoices are paid in a timely manner.
- Support with advisor management, including the recruitment, onboarding and training of new advisors.
- Draft a monthly newsletter to keep advisors up to date on relevant news and events.
- Oversee the utilization of program-specific software tools, such as Calendly and Fellow, including maintaining licenses, training, and troubleshooting issues.
- Support with annual strategic planning process and tracking quarterly team goals.
- Undertake ad-hoc projects and tasks as directed by the Manager, Venture Programs Initiatives, which may include research, strategic planning, and stakeholder engagement.
WHAT YOU HAVE ACCOMPLISHED/ GAINED THROUGHOUT YOUR CAREER:
- Minimum of certificate in Business Administration or related field.
- 1-2 years of experience in administrative or operational roles.
- Proficient in MS Office Suite, particularly Excel, PowerPoint, and Word. Experience with Customer Relationship Management (CRM) software is considered an asset.
- Excellent communication, organizational, and multitasking abilities.
- A keen eye for detail, ensuring accuracy and consistency in all facets of work.
- Strong interpersonal skills, with a proven track record of fostering positive relationships.
- A passion for the tech startup ecosystem is highly valued.
