The Events Lead is a strategic, client-facing role responsible for leading all external event client services at Bayview Yards and other strategically selected venues across the National Capital Region. This role blends creative planning, sales skills, and logistical coordination to deliver exceptional event experiences while supporting Invest Ottawa's revenue growth. As the primary point of contact for internal and external clients, you'll develop customized, fee-for-service event offerings and build relationships with high-level stakeholders from C-suite executives to startup founders to internal program leads.
Corporate Pay Band C: $63,200- $94,800
Hiring Salary Range: $63,200 - $79,000

WHAT YOU WILL BE DOING
- Act as the primary point of contact for internal and external clients, including C-suite executives, startups, and program leads, and lead client discovery meetings and site tours to identify needs and present tailored solutions.
- Oversee end-to-end event planning and execution, in-person, hybrid, and virtual, translating diverse client needs into actionable event plans including layouts, staffing, and timelines.
- Maintain a centralized, up-to-date calendar of all events, and coordinate with AV, facilities, and building operations teams to meet technical and logistical needs.
- Liaise with partners and external vendors, including caterers, AV, and rental companies, to ensure seamless event delivery.
- Manage high-profile, complex events requiring executive-level engagement and tailored experiences, and lead scheduling and task assignment for part-time event support staff.
- Build and manage strong relationships with clients, vendors, and internal stakeholders, and identify upselling opportunities to grow partnerships through customized offerings.
- Provide client-focused service from first inquiry through post-event follow-up, and act as a brand ambassador for Bayview Yards in client meetings and pitches.
- Coordinate execution of Invest Ottawa-led flagship programs, such as International Women's Month, and support seamless integration of external events with organizational goals and KPIs.
- Provide weekly updates to internal teams on event logistics, staffing, and space requirements.
- Use Dynamics CRM to manage the full sales cycle and client engagement history, and prepare professional proposals, contracts, and quotes with clarity and compliance.
- Track and report event KPIs monthly, quarterly, and annually, and analyze event outcomes and participant feedback to recommend improvements.
- Compose event reports summarizing outcomes, ideas, feedback, and recommendations
WHAT YOU HAVE ACCOMPLISHED/GAINED THROUGHOUT YOUR CAREER :
- Post-secondary education in event management, hospitality, business, communications, or a related field preferred.
- Minimum of 3 years of experience in event coordination and operations.
- Expertise in event planning, logistics, and coordination.
- Strong proficiency with CRM tools (e.g., Dynamics), Microsoft Office Suite, and event software such as Eventbrite.
- Experience planning and executing high-profile events with executive-level stakeholders.
- Excellent interpersonal, verbal, and written communication skills.
- Strong organizational skills, with the ability to manage multiple priorities under tight deadlines.
- Genuine curiosity about technology and how it can improve processes — you don't need to be a tech expert, but you're comfortable learning new tools and bring that comfort to your team.
