About the role

Leadbox is currently seeking an outstanding Bilingual (EN/FR) Account Coordinator (we call them Dealer Success Coordinators) to join our Operations team working EST hours. This is a new and critical role — you will be the operational backbone behind a team of Dealer Success Managers (DSMs) who manage relationships with our automotive dealership clients across Canada.

Our DSMs are great with clients. Your job is to make sure nothing falls through the cracks behind the scenes. You will ensure every service request has complete information before it reaches our execution teams, every system is accurate and up to date, and every client in your pod has operational visibility — whether they spend $2,000 or $20,000 a month.

You will be paired directly with a DSM in a pod structure, covering approximately 70 dealership clients together. The DSM faces the client. You face the operation. Together, you ensure every client gets exceptional service.

An ideal candidate is someone who is detail-oriented, process-driven, and unafraid to push back when something isn't ready. We value candidates who demonstrate a high degree of initiative, accuracy, and the confidence to hold the line on quality — even when things move fast.

A few of your primary responsibilities

  • You will be the information quality gate between our client-facing team and our service teams. If a request is incomplete, you catch it and gather what's missing before it enters the queue.
  • You will ensure data accuracy across our CRM (HubSpot), budget tracking system (Smartsheet), and ticketing tools — because our automation and reporting depend on clean data.
  • You will execute the operational side of client onboarding — setting up systems, populating records, requesting platform access, and tracking completion.
  • You will monitor client health scores weekly, flagging at-risk accounts to your DSM with context so they can act quickly.
  • You will coordinate across service teams (Digital Advertising, SEO, Web Development, Design, Support) to ensure multi-service clients stay aligned on priorities and timelines.
  • You will prepare renewal briefs 90 days ahead of contract renewals — assembling performance data, health scores, and contract details so your DSM walks into that conversation fully prepared.
  • You will consider our three core pillars in all your decision-making.

A few basic requirements

  • 3-5 years of professional experience in project coordination, operations, or a multi-stakeholder support role
  • Excellent attention to detail — you notice when something doesn't add up
  • Strong written and verbal communication skills in English and French
  • Experience with CRM systems (HubSpot experience is an asset)
  • Proficiency with spreadsheets and project management tools
  • The ability to hold the line on quality under pressure — you can say "this isn't ready" diplomatically and mean it
  • Comfort juggling multiple systems and priorities simultaneously
  • Bachelor's degree or College Diploma (concentration in business, marketing, or operations) is an asset
  • Knowledge of digital advertising an asset
  • A passion for the Automotive industry an asset
